Donation Request Policy

MISSION STATEMENT OF KIWANIS INTERNATIONAL

Kiwanis is a global organization of volunteers dedicated to changing the world one child and one community at a time.

The Kiwanis Club of Missoula is approached each year with numerous requests for monetary donations to a diverse array of causes.   Some of these are addressed through the budgeting process and do not require action by the Board beyond annual approval of the budgets for Committees.   This policy is intended to give the Board of Directors a means of effectively evaluating requests that fall outside of the annual budgets for our Committees.   

There are two elements to this policy.  The first is to establish general guidelines by which each request will be evaluated.   The purpose of the guidelines is to help ensure that each request is consistent with Club goals.  The second is the creation of collection periods during which requests are reviewed and evaluated.  The purpose of the collection periods is to allow requests to be evaluated relative to other requests thus ensuring more effective use of the Club’s financial resources.

The Board will evaluate and act on requests on a semi-annual basis occurring in the months of March and September.   Each request will be evaluated based on the following guidelines.    

  1. Does the request help children in some meaningful way?
  2. Does the request benefit the community at large in some meaningful way?
  3. How many children and/or community members are going to benefit?
  4. Who is the target beneficiary?
  5. How basic is the need being addressed? (i.e. food and shelter should rate higher than toys.)
  6. Is this request for a one-time gift, a capital campaign donation, or to assist in operations?
  7. Would our club benefit in a manner of potentially gaining a member or a future speaker?
  8. Do we have any member(s) currently affiliated with the requesting entity? 
  9. Financial status of the Club.  
  10. Any other factors the Board deems appropriate under the circumstances.

Requests not granted may be carried over into the next collection period at the discretion of the Board.  This policy does not prevent the Board, in its discretion, from evaluating and acting upon requests for funds which are received outside the two collection periods.
